Erie, Pennsylvania               April 23, 2005 Secretary’s Report
Joel Chaney reported that requests for nominations for the Exhibitor of the Year and Clerk of the Year were sent to the Region IV club secretaries. Nominations should be sent to Marilyn McBane by May 30th.
Ron Pastor summarized Chris Simpson’s Treasurer’s Report. The report is attached to the minutes provided to club secretaries but will not be posted on the GLR Website. Ron commended the committees and individuals responsible for fundraising, especially the committee handling the ACE 50-50 raffle. The ACE 50-50 has generated significant revenue for the region.
A question came up about whether we had information on what it will cost to put on the 2008 annual. Ron reported that the finance committee doesn’t have forecasts for the 2008 Annual, because the hotel will not release estimates for food and rooms until a year before the annual. Loretta indicated that CFA has a $60,000 cap on regions spending on the annuals.
Brenda Shaffer was not present to provide a report on the Awards show. The show flyer is being passed out this weekend and will be on the GLR Website. Marianne Toth reported on ring sponsorship and award sponsorship. She has sponsors for the rosettes in all 6 rings. She also has sponsors for the ring clerks, stewards and ring supplies in 2 of the 6 rings. The estimated cost of the ring sponsorship is $150. Clubs, individuals, or catteries can sponsor all or part of the ring cost. Marianne reported that she got an early start on the $25.00 award sponsorship. Currently, she has sponsors for 16 of 25 awards for Championship, 15 of 25 for Kitten, 15 of the 25 for Premiership, and 3 Distinguished Merit awards. Wilma Van Scoyk provided a report on the Awards and Rosettes. Wilma indicated that anyone wanting duplicate trophies or rosettes should contact her as soon as possible. She will provide the name and phone number of the supplier. The information will also be sent out with the award packets. Wilma reported that we could save about $150 on the Rosettes by ordering smaller, less elaborate rosettes. The consensus of those present was to continue with the same rosettes as last year. Loretta indicated that this year we want to include pictures of the Breed winners in the slide show. Marianne Harris reported that she will need pictures of the top 25 in championship, premiership, and kitten; the Breed winners, and DMs. Loretta reminded everyone that 2005 will be the last year that the award show will be on the 2nd weekend in June. Starting in 2006 the show will be moved to the first weekend. Hope Gonano provided information on the Show Entry raffle and Jerry Kithcart reported on the Awards Show raffle. On March 10th, Hope mailed a letter to each Region IV club requesting: - show producing clubs to donate an entry to their show(s) for a special raffle in support of the 2008 Annual. The entries will be grouped (probably by State) and raffled off. In this way the winner could win up to 15-20 show entries. - non-show producing clubs to donate an item (with an approximate value equal to a show entry) to the raffle. Hope and Jerry clarified that the items donated by non-show producing clubs will be included on the award show raffle table.
Jerry reminded everyone of the great raffle that we had at the award show last year. The items donated by clubs and individuals were wonderful and the raffle generated significant monies for the region. He encouraged everyone to bring items for the raffle again this year. Clubs could donate an entry to the raffle table to be raffled off separately.
Jo Ann Cummings submitted a report on the 2008 Annual. It provides status of our efforts and identifies the various committee heads and members.
Loretta exhibited the centerpiece for the 2008 Annual. She thanked Eve Russell for obtaining the centerpieces at substantial savings to the Region. If anyone can provide safe, dry storage for some of the centerpieces until 2008, contact Loretta.
Sandi has not received a request for a new show date.
Toys for Rosettes Raffle.
ACE 50-50 raffle. - Carolyn Haydu
Marg Baird is the focal point for the catalog flyer program. Each club is encouraged to include a one page flyer for shows during the upcoming month. Marg has tried contacting the Club Secretaries to obtain show flyers with limited success. It was suggested that the club contacts should be the show entry clerks. The entry clerks should send the flyer as a pdf file to Marg Baird at hiboucats@sympatico.ca. A question was raised as to whether the flyer inserts should be a full page or half page. The consensus was that full page flyers should be used. Clubs should not have to edit the flyer to ½ page.
Karen reported that the website is being upgraded. The update will permit clubs to accept on-line entries through the website. In addition, the web site has pdf flyers for most of the Region IV shows.
The next meeting will be held in conjunction with the Awards Show in Bowling Green, Ohio.
