MINUTES OF GREAT LAKES REGIONAL MEETING

AUGUST 14, 2004
Columbus Ohio

The meeting was held during the lunch break at the Exotic Breeders Show and was attended by at least 52 Region 4 exhibitors. Loretta Baugh thanked the Exotic Breeders Club for hosting the meeting. Loretta's email address is Regional-Director@CFAgreatlakes.org

Introduction of Regional Appointments

Report of the Finance Committee

The Finance Committee met on August 10, 2004 and provided minutes of their meeting. The Committee reported that a check has been received from the prior Treasurer. In addition, a statement from Fifth Third Securities, Inc was received showing a balance in an Investment (Bond) Fund. The prior treasurer retained monies to cover outstanding checks and bank fees. The Investment account will have to stay with Fifth Third bank due to restrictions on withdrawals, but we will be changing signatures to Finance Committee for oversight. The Treasurer will open two accounts; the Primary Operating Account and an Event Account. The event will be used for payments/deposits towards all specific Region initiatives.

Expenditures in excess of $500 will require signature of two members of the committee. In the future, event/activity coordinators will be required to submit budget forecasts for approval by the committee.

Treasurer Report on the Annual Award Show

Ed Bodnovich submitted a brief treasurer's report on the June annual awards show. A copy of the Annual Award Show Report may be requested by club secretaries by emailing Joel Chaney.

2004 Regional Qualifier - Niles, OH

Ron Pastor reported that plans for the show are moving along. He and Linda Komar are working with the Finance Committee to develop the budget for the show. Ron asked whether the donation from Iams has been received. The Iams monies have normally been used for advertising. Loretta Baugh will check with Liz Watson to obtain the contact at Iams.

Loretta reported that CFA would provide the additional Breed Ribbons that will be needed for the Qualifier Format.

2005 Regional Award Show

Brenda Shaffer is the show manager for the Awards Show. She reported that the Seagate Center was not available for the Awards show. She also reported that they had found a showhall in Bowling Green, Ohio for approximately $3,300. There was a discussion of the Bowling Green site and the consensus of the meeting was to move the show to Bowling Green.

The regional guidelines specify that the format for the Award show will be 4 All Breed and 2 Specialty rings. A discussion of the selection of judges followed. Norman Auspitz reported that the region had previously voted that we would have 4 Great Lakes Region judges and 2 out of Region judges. Loretta indicated that the Region IV Clubs would vote on the Qualifier Judges. The secretary will send a Ballot to Region IV Club Secretaries.

2005 Award Banquet

Ann Mathis is chairing the dinner. The awards themselves will be handled by Wilma Van Scoyk, as usual, with her committee, and Marianne Harris will do the slide show.

2005 Qualifier

Tentatively, the 2005 qualifier will also be held at the Bowling Green site, assuming all goes well with the 2004 Regional Awards show. A ballot for the judges will be sent to the Region 4 Club Secretaries.

Fund Raising

Toys for Rosettes Nancy Grandison sent a report that Wayne Mull has pledged a donation of Toys that can be used as Trophies/Rosettes" valued at approximately $500. The proposal is to use the Toys in a Raffle open to CFA Show Producing Clubs. The goal would be to raise $5,000 through the raffle. Nancy requested input on valuing the raffle tickets. For example, we could sell 100 tickets at $50 or 200 tickets at $25. The raffle would be open to Region IV and out of Region Clubs and Clubs could buy more that one ticket. Wayne requested that the raffle be completed by Christmas so that he can make the toys that the winner prefers. Beth Cassely, later, suggested 200 tickets at $25.00 would be more effective for ticket sales.

Fundraising Shows Jerry Kithcart asked Loretta if the Region was going to hold fund raising shows on the 5th weekend of months with five weekends. Loretta indicated that she had approved a show on the 5th weekend of October. Proposals should be submitted to the Regional Scheduler - Sandy Douglas.

$100 Club Martha Auspitz indicated that the Southern Region started a $100 Club. Individuals donated $100 each and the Region raised a significant amount for the CFA Annual. Martha recommended that the names of the individuals donating $100 be published on the Website and in the catalog for the award and qualifier shows. Martha also pointed out that Southern Region had made $100 Club buttons for people to wear so that member contributors would not be asked again to donate to the $100 club. These suggestions will be passed on to the Fundraising committee.

ACE 50-50 raffle Jerry Kithcart reported that the ACE 50-50 raffles have been very successful and the committee plans to continue the raffles until the 2008 Annual. Several clubs haven't allowed the region to hold the raffle because they had major fundraising raffles going on. The consensus of the meeting was that the 50-50 doesn't impact the local club raffles and fundraisers. Carol Haydu asked that any volunteers to coordinate and hold the raffle contact her. Ron Pastor indicated that the Regions financial statements would include an accounting for the 50-50 raffle and other activities where the proceeds are dedicated to the 2008 Annual. Nancy will see that all possible shows run ACE and be certain raffles are spread out, not all centered in one area/show. Contact Nancy with ideas, suggestions, or to volunteer.

Fundraising for the 2008 Annual Loretta reiterated that money raised for the 2008 Annual will be designated for it and will be separately accounted for by the Finance Committee.

Sponsorships

Qualifier - Marianne Toth reported that Clubs have donated to cover 4 of the rings at the qualifier. In addition, she has solicited Vets in the Niles area. Mid-Michigan Cat Fanciers and Cat Nation Fanciers (Erie, PA) volunteered to support the remaining 2 rings at the qualifier.

Annual Awards - Marianne reported that the sponsorship of the awards was very successful. The sponsorships raised $1,800 to offset the cost of the beautiful awards that Wilma Van Scoyk continues to get.

On the Road Again CD - Loretta reported that the Region had sold approximately 30 copies of the OTRA. They are working on the difficulties with software. It takes a long time for the file to load.

Awards Show - Marianne reported that she has sent letters to 40 Pet Related Corporations soliciting donations for the Awards show.

Great Lakes Region Website

Karen Lawrence is the Web site manager for the Region. Karen indicated that the website will be moved to a different domain. This will reduce the cost to about $35 per year. Karen is updating the site. Photos of last year's winners will appear soon. Karen can create a web page on upcoming shows and include a link to the club's show flyer. However, clubs must send Karen the information, electronically!

There were suggestions to include a web page on Region IV vendors and to include a link to the Southern Region's Vendor Marketplace.

Loretta indicated that Karen was willing to expand the Region's website, but she needed suggestions from Regional members. Provide your suggestions to Karen, Loretta, and Joel.

Regional Scheduler

Loretta appointed Sandy Douglas as the Regional Scheduler. Requests for show dates or changes to show dates should be submitted to Sandy. The Regional Director approves the dates and changes. Several members explained concerns with the location of competing shows and approval of out-of-region shows in our region. Loretta indicated that she would carefully review proposals for new clubs and shows based on location and the population of fanciers in the area.

Report on the 2008 CFA Annual

Jo Ann Cummings submitted an extensive report on planning for the annual. (The report is available as a PDF file. The annual "Run for the Roses" will be held at the Marriott Hotel in Louisville, KY. The Marriott in Louisville should be completed this year. It is exactly the same as the Marriott hotel in downtown Indianapolis, IN. Plans are beginning to gel. Susan Perkins has volunteered artwork for the annual. People from throughout the region have enthusiastically volunteered to work on the annual but other positions will need to be filled.

Entertainment - Ken and Elaine Crews

Volunteers to work with the hospitality and entertainment committee will be needed.

Loretta Baugh emphasized that the 2008 Annual will be a region run event. Budget forecast will be developed and major decisions will be made by vote of the Regional Clubs.

Other Business

Loretta indicated that she would like to hold regional meetings at least every other month in the near future. Clubs can volunteer to host the Regional Meetings. The next Regional Meeting will be held during the Regional Qualifier in Niles, Ohio on October 9/10, 2004.
